Licensing Guide

Finding the right Solution

Discover the landscape of simulation licensing — how the process unfolds, common barriers, and proven strategies for finding the best fit.

Discovery Methods

Educators typically discover simulations through online searches, colleague recommendations, or academic conferences. They then compare providers, request information, and arrange product trials.

Initial Barriers

Differences in language, regional content, time zones, and commercial terms can complicate the evaluation process. Clear communication with providers helps avoid misunderstandings.

Licensing and Next Steps

Once a suitable simulation is identified and tested, educators can review licensing options, pricing, payment methods, and terms of use before making a final decision.

Chapter Two

What to look for in a License

Know your rights, check compatibility, and leverage community insights to make the best decision for your students.

What to ask for

  • Access to a high-quality, well-designed educational technology product.
  • Up-to-date content, software updates, learning materials, and user guides.
  • Timely technical support and customer assistance.
  • The right to cancel an order in accordance with the provider’s refund policy.

Check device compatibility

Check if the simulation displays and works correctly on different mobile devices, such as smartphones or tablets. Also ask about the accessibility standard that the product meets.

Bring your own content

Check whether the platform allows you to easily customize and test simulation content and settings, as course requirements may change each academic term. Ideally, try these features immediately after the product demonstration.

Chapter Three

Sealing the Licensing deal

How to transition from considering simulation options to securing a solid licensing deal that protects both your institution and your students.

Get it in writing

Once you've identified the simulation that meets your course requirements, go ahead and ask for a commercial proposal and/or licensing agreement from the company. The business documents will outline how the simulation company has decided to sell access to its software.

Popular Licensing Methods

Most simulation companies offer two types of licenses. Some are for one-time use, and the number of users determines the price. Others are for the whole site, and clients can use the simulation for different courses and for longer periods of time. The last item in this presentation is about an entirely new licensing system based on auctions.

Items to look for

Each licensing agreement should clearly state the rules for using the software. The licensing proposal document should include a number of key items, including general access and usage rights, licensing conditions and limitations, warranty, support and service.

Pricing and Payment terms

Prospective clients should look to receive a commercial proposal that shows the price of each license and the total amount they will have to pay. There are two ways to pay:

1. The client (school) pays for all end-user licenses which is called a bulk order payment.

2. The end-user, who is usually a student or course participant, is responsible for paying for their own license.

The payment method you choose can affect the final cost of the software and the terms offered by the simulation company.

Chapter four

Licensing in Practice

Understanding the theory of licensing is one thing, but seeing it in action provides the clarity needed for a smooth implementation.

Example of Licensing

Simbound is the original digital marketing simulation game for education launched in 2012. Here is how licenses get from our company to our end clients.

The Simbound digital marketing simulation is provided online by Apollo Edtech SRL, a limited liability company based in Cluj-Napoca, Romania, European Union. Apollo Edtech owns all intellectual property rights to the simulation, including its content, derivatives, and product versions.

Clients can purchase licenses directly through www.simbound.com or authorized resellers worldwide, providing instructors and students with access to the platform.

License Terms and Conditions

Simbound offers six integrated simulation modules: Websites, Search Engine Advertising, Email, Social Media Marketing, Community, and Affiliate Marketing, including several world-first innovations.

Academic licenses range from €30 to €80 per participant, depending on order volume, selected modules, school location, payment currency, and payment method (institutional or individual).

We support flexible payment options across 20+ currencies and markets.

Optional services, such as onsite support or custom content development, are available upon request and priced separately from simulation licenses.

Chapter five

A new Licensing model

As education evolves, we’re building on our proven model to offer more flexible and scalable licensing solutions.

The need

The current licensing and pricing model worked well in most cases because it was simple. People ordered and used licenses based on the number of students in each class. But this fixed approach doesn't leave course managers who want flexibility on their budget — which is why we built an alternative: a monthly license auction.

Limitations of existing Licensing

Education is a huge sector, but it often doesn't have enough resources to match its needs. Not every course manager has the same budget for using the latest simulation educational technology in their course. A fixed price per license doesn't always match what a school can actually pay.

Introducing Software License Auctions

Auctions are now a standard part of our licensing packages. With a license auction, users decide how much they want to bid and how many licenses they need, which gives them a lot of flexibility in buying and budgeting. Schools only pay what they bid, and only for the licenses they actually win. That's a wrap on our primer on licensing methods! We hope this resource helps you secure the best academic simulation software for your needs.
